A Promotion in Eventact is a discount or special option that becomes available only when a registrant enters a Promotion code. Promotion codes are a powerful way to encourage registrations, offer exclusive discounts to partners or speakers, and unlock hidden ticket tiers.
Setting up promotion codes in Eventact is a two-step process:
- Define the Promotion (the discount rules and applicable items)
- Add the Promo Code field to the registration form
Step 1: Define the Promotion (The Rules)
The Promotion defines how the discount works and which items it applies to. Think of it as the blueprint.
How to create a promotion
- Go to Pricelist in the left-hand menu.
- Click Promotion Codes (top right).
- Click + Add Promotion / Create a Promotion.
- Promotion Name: Enter an internal name for reporting (e.g., Speaker Friends Discount).
- Promotion Codes: Enter at least one code the registrant will type in. You can enter multiple codes separated by commas. Additional codes can be added later.
-
Discount Type & Value: Choose how the discount is calculated and enter the value (e.g.,
50for 50% or a fixed amount). - Applicable Items: Click Add Items and select the relevant Categories, Groups, or specific Items (e.g., tickets, hotels, flights, or specific ticket types).
- Click Save.
Manage individual promotion codes
After creating a promotion, you can manage each code separately:
- Click the Edit icon next to the promotion name.
- Select View Codes.
- Edit each code’s settings as needed.
-
Maximum Usage Limit: Set how many times the code can be used
(enter
0for unlimited). - Redemption Date Range (optional): Set Valid From and Valid Until dates for time-limited offers.
- Status: Ensure the code status is set to Active.
Discount Types
Eventact supports multiple discount types. Use the table below to choose the correct discount logic for your promotion.
| Discount Type | How It Works | Example | Notes |
|---|---|---|---|
| X% Off | Applies a percentage discount to the item price. | $100 item → 10% off → $90 | Simple and commonly used. |
| Fixed Amount Discount | Subtracts a fixed amount from the item price. | $100 item → $10 off → $90 | Same discount regardless of price. |
| Set New Price | Replaces the original price with a specified new price. | $100 item → new price $70 | Useful for negotiated or special rates. |
| Buy X Items, Get Y Items Free | Customer pays for X items and receives Y items free. | Buy 2, get 1 free | The discount equals the value of the free items. |
| X% Off Second Item | Applies a percentage discount to every second item. |
50% off second ticket: Buy 3 → $250 ($100 + $50 + $100) Buy 4 → $300 ($100 + $50 + $100 + $50) |
Requires items in the same order and the same field/group. |
| Enable Item | Makes a pricelist item available only when the promo code is applied. | Hidden VIP ticket becomes visible | Best for “unlocking” ticket tiers or items. |
| Buy X Items to Get Y% Off | Applies a percentage discount after a minimum quantity is reached. | Buy 3 → 20% off each | More flexible than “second item” logic. |
| Buy X Items, Get Y Amount Off | Applies a fixed discount amount once the minimum quantity is reached. | Buy 3 → $30 off total | Applies once per order. |
| Buy X Items, Get Fixed Discount Per Item | Applies a fixed discount per item after the minimum quantity is reached. | Buy 3 → $25 off each | Discount scales with quantity. |
Important notes for quantity-based discounts
- All discounted items must be in the same order and belong to the same field or group.
- These discounts generally do not apply to individual (per-person) orders.
- To apply the discount to a group of participants, use a ticket selection field with quantity. If participant names are required, use the Group Details field so the registrant can assign tickets to individuals.
Tip:
To make a ticket visible only to registrants with a promotion code:
- Add the ticket to the promotion’s Applicable Items.
- Edit that item in the Pricelist.
- Under Eligible Registrants, select Registrants with promotion code.
Tip:
You can often verify applied promo codes in the ticket description.
Managing Your Codes
You can track usage or deactivate codes at any time by returning to the Promotion Codes list. Use Search Codes to locate a code, or open Usage Summary to review performance.
Step 2: Add the Promo Code Field to the Registration Form
For promotion codes to work, registrants must have a place to enter them.
- Open the Registration Form editor.
- Add the master-defined field: Promo Code.
- Place it before the Tickets page.
- Save the form and test a registration to confirm the promotion applies correctly.
