Eventact is the specialized tool for event management. Monday.com, however, is designed to manage broader company workflows, projects, and teams.
For organizations that manage more than events, combining the two platforms ensures event data flows effortlessly into broader business processes.
This integration is highly beneficial for organizations that run professional conferences, corporate events, medical events, or association meetings—where event teams must coordinate with sales, marketing, finance, and operations teams already working on Monday.com.
The Value Proposition
Unified Workflow: Streamline the sharing of time-sensitive event information directly to other departments. This enables teams such as Sales, Finance, or Operations to act quicker on new opportunities (e.g., following up on a VIP attendee) or issues (e.g., outstanding payment) without relying on manual reports or access to the Eventact system.
Broader Scope: Seamlessly set up and automate pre- and post-event tasks (such as sales follow-up, content distribution, or logistics planning) that involve multiple departments that do not use Eventact.
Data Utilization: Enable teams beyond event organizers to utilize rich registration data, moving it from a specialized silo into a general management platform.
Basic Monday.com Terms for Eventact Users
Understanding these core structural terms is essential for setting up the mapping correctly.
Board: A storage space on Monday.com in table format, similar to a spreadsheet. This is the target for your Eventact data.
Item: A single row or record within a Board. In this integration, one Eventact Registration becomes one Item.
Group: A colored section on a Board used to categorize Items (rows) within a Board.
Column: A vertical field on the Board used to hold a specific type of data (e.g., Email, Phone, Status).
API Token: The secure credential used for Authentication, granting Eventact read/write access to your Monday.com account.
The Eventact to Monday.com Interface: Data Flow
The Eventact-Monday Interface automatically transfers registration information from Eventact to a designated Monday.com board.
Integration Scope and Flexibility
The Eventact-Monday Interface automatically transfers registration information to a designated Monday.com board.
Company-Wide Definition: The interface is configured once at the Eventact Company Level, applying automatically to all your events and projects.
Data Included: The interface syncs all data from Eventact Company-Level Fields and Master Registration Fields (fields universally available across all Eventact projects).
Parallel Sync: Eventact can synchronize with Monday.com in parallel with syncing to other CRMs (such as Salesforce or HubSpot).
Security & Permissions
Eventact connects to Monday.com exclusively via an API Token.
Token Management: The token can be issued from either a personal account or a dedicated service account. Access scope should be limited to the boards and actions required for the integration, ensuring no unnecessary exposure of data.
Data Security: API tokens are stored securely and are used exclusively for server-to-server communication.
Scope Adherence: Eventact will not modify data outside the explicitly configured scope, which helps organizations maintain clear ownership, auditability, and compliance with internal data governance policies.
Error Handling & Reliability
To ensure reliable data synchronization at scale, the integration includes several critical validation and error-handling mechanisms.
Audit Trail: Eventact logs successful and failed data writes to Monday.com.
This historical data can be reviewed on the registration history page within Eventact, providing a complete audit trail of synchronization events.
Pre-Write Validation: The system performs data integrity checks before writing to Monday.com.
System Failures: In cases of API rate limits, temporary connectivity issues, or mapping mismatches, the system safely logs the error for review without halting the entire sync process.
Manual Recovery: Users have granular control over synchronization failure recovery:
Single Registration Debugging: Users can manually trigger a sync from the registration overview page by clicking the Synchronize with CRM option.
Detailed Feedback: In case of failure, a detailed error message as returned directly from Monday.com is displayed, enabling the user to identify and potentially fix the issue (e.g., incorrect value mapping).
Bulk Recovery: Users can complete the sync manually by selecting multiple unsynced registrations and activating the synchronization function on them.
