This is the starting point for Eventact Arrival: what it is, what it does for you as an organizer, and what
the moving parts are. Once the picture is clear, the other guides in this series take you through setting it
up, running the desk on event day, and fixing things when they go wrong.
What Eventact Arrival Is
Eventact Arrival is a cloud-based check-in and badge printing system designed to streamline event entry.
Whether staff operate it or it is used as a self-service kiosk, Eventact Arrival gives attendees a fast,
smooth arrival experience.
Arrival works as a standalone check-in solution, but integrating it with Eventact pre-registration creates a
fully synchronized attendee journey - from signup to on-site check-in. That integration removes the manual
export and import steps between registration and the door.
Benefits for Event Organizers
Check-in Dashboard
Seamless data synchronization: Real-time, automatic data sharing between platforms eliminates manual uploads and transfers.
Reduced Workload: There is no need to upload or download registration data before or after the event.
Continuous Registration: Keep online registration open during the event - no cut-off required.
Flexible Check-In Options: Allow staff-operated check-in at the Arrival Desk or enable attendee self-check-in with the Arrival Kiosk.
Scalability: Designed to support events of any size, from small meetings to large conferences.
Real-Time Insights: Monitor check-in progress and session attendance as they happen.
Offline Functionality: Continue check-in operations even with limited or no internet connectivity.
Low Bandwidth Compatibility: Internet connectivity at event venues can be unpredictable. Eventact Arrival is designed to work reliably even with cellular or low-bandwidth connections.
For the product overview of Eventact Arrival features, see the Check-in Software page.
Core Components
Eventact Arrival is made up of three components. A typical event uses some or all of them together.
Arrival Desk
Check-in Desk with QR Code Scanner
A web-based app for event staff to manage attendee check-in, print badges, and track attendance. It runs on
any device with a standard browser - Windows, macOS, Android, or iOS.
Check in pre-registered guests.
Register new guests on-site.
Edit guest details.
Validate tickets for sub-events.
Track session attendance and generate analytics.
Arrival Kiosk
Arrival kiosk
A touch-optimized, self-service app that lets attendees check themselves in using QR codes, registration
codes, or phone numbers - reducing the queue at the staffed desk.
Self-check-in: For pre-registered attendees via a clean, intuitive interface.
Quick installation: Open a simple link on the target computer.
On-site registration support: Optionally allow walk-ins to register directly at the kiosk.
QR code and e-ticket scanning: Using the device's built-in camera or an external QR code reader.
Flexible check-in methods: Attendees can check in using a phone number or registration code.
Access control: Restrict check-in based on registration status, ticket type, or attendee role.
Multi-lingual interface: Attendees can choose their preferred language during check-in.
Eventact Printer App
Eventact Printer App
A Windows application that manages badge printing. It supports most Windows-compatible printers, and several
desks and kiosks can share a single printer. Any printer with a Windows driver will work - see
Choosing a Badge Printer for Your Event for the trade-offs between printer
types.
How a Check-in Works
The whole flow, end to end:
A guest arrives and presents an e-ticket QR code, or gives their name or phone number.
A staff member finds them on the Arrival Desk, or the guest scans their own code at an Arrival Kiosk.
Arrival marks the guest as arrived and sends their badge to the assigned printer.
The Eventact Printer App receives the job and prints the badge, personalized from the guest's registration data.
The check-in appears immediately on the back office dashboard, along with live arrival counts per desk.
Each desk, kiosk, and printer connects directly to the internet and syncs through the cloud. There is no
local network to configure, and the components do not need to be on the same network as each other.
Two Ways to Set Arrival Up
Arrival can be configured from either of two places, and you can use both in parallel:
From the Eventact back office
(office.eventact.com > Registration) - the full setup, with complete control over every Arrival
feature. This is the path to use if you already manage your event in Eventact.
From arrival.eventact.com
- a simplified setup for organizers who use Arrival on its own and do not run their event in Eventact.
You create the project, import a guest list from Excel, and design badges there.
